How to add a watermark to a PDF
You can watermark a PDF in a browser, in Acrobat, from Microsoft Word, or (with limits) on a Mac. The right method depends on whether the file may leave your machine, whether you own Acrobat Pro, and whether you need an image logo or just text.
Steps
- 1
Decide if the file can be uploaded
If it cannot, skip hosted converters. Use this site or a desktop app you already license.
- 2
Pick text vs image
Text marks (CONFIDENTIAL, DRAFT) work in any of the tools below. Logo PNGs need Acrobat or similar.
- 3
Apply to all pages
Confirm page 1 is included. Header-based watermarks in Word often skip it.
- 4
Check a print preview
Low-opacity gray can disappear on a cheap printer. Raise opacity slightly if you print.
Method 1 — Browser, no upload (fastest for text)
Open the WatermarkPDF editor, drop the PDF, set text and opacity, download. The mark is vector text on every page. Use this when the document is sensitive or you do not want to install software. You cannot overlay a company-logo PNG here.
Method 2 — Adobe Acrobat Pro
Acrobat is still the reference tool for image watermarks and Bates numbers. Path: Tools → Edit PDF → Watermark → Add. Pick text or a file, set rotation and opacity, choose page range. Acrobat Standard/Pro can save the watermark as a preset. Acrobat Reader cannot add watermarks; it can only view them.
Method 3 — Microsoft Word, then export
If the source is still a .docx, Design → Watermark, then File → Export → Create PDF. Watch the “Different first page” header option: it is the usual reason the mark is missing on page 1. Once you have a PDF, you cannot edit Word’s watermark without going back to the .docx.
Method 4 — What Preview on Mac cannot do
macOS Preview has no Watermark command. Markup lets you type a text box on one page, not a repeating faint mark across a document. For Mac-native options see the Mac guide: Quartz filters, Automator, or this browser tool.

FAQ
Can Adobe Reader add a watermark?
No. Reader is view-and-comment. You need Acrobat Pro, another editor, or a browser tool.
Does watermarking compress or flatten the PDF?
It should not. This tool draws text on the existing pages. Avoid “print to PDF” if you care about selectable text.
For a text mark and a private file, use the editor on this site. For logos and page ranges, use Acrobat. For Mac Preview limitations, open the Mac guide.
